What’s up, Gavin?

What’s going on, Don? How are you?

I’m good. We were talking about how we’re going to intro this. We’re going to jump right in. I‘m not going to do my typical intro for my audiences. We will make it clean. You and I have come together to talk about some cool things but first, I want to catch up and find out what you got going on in your world.

It has been busy. I’m in Tampa. We’re in a mastermind together, which is always good. We should always be in a mastermind. I’m excited for New Orleans because we’re coming to you for your inner circle. You should come and join us for that. We should add that here. I’ve got that going on. I’m traveling and networking with people like you. We’ve got some joint venture stuff that we’re doing together so I’m excited. We were chatting here at a meeting. We were like, “Why don’t we talk about what we’ve got going on?” I’m excited. I’m hungry. It’s 2023. 2022 was rough. I got divorced but we’re through that. We’re ready to go. I’m fired up and excited. What about you? Where are you?

I’m excited too but I have been the king of taking on too many projects. In the last couple of years, I’ve done exactly the opposite of what I tell everybody to do, which is to focus on one thing. Instead, I focused on more than one thing. It has been an interesting juggle and a reeducation of why it’s important to get one thing going right before you add more complications to your life.

I‘m sorting some of that out but other than that, everything is good. I‘m excited for 2023. I‘m excited about what it’s bringing. We have the Inner Circle Elite community, which you mentioned. That is growing. There are some incredible members in it. We launched the ICE Accelerator community for newbie investors. We have that going on as well. We have a lot of cool things going on my site.

I love it. It’s all good. We got something else new that’s happening, which I’m excited about. You’ve been using it in your business. I want to find out. I’m going to show you what I like about this new thing that we have going on. Tell us. What have you been doing? We talk about follow-ups all the time in our business. That’s where the profit is. We talk about that and the best ways to be efficient at doing this. We have come across something that we have started to use here that we’re super happy with. Tell us about that. You’ve got a deal from 2018 that you’ve been following up on. How did that look? What have you been using in that deal to close it?

I always talk about marketing as an investment in your business. It’s a tool that you use to generate leads. All marketing works. The problem with most marketing is generally, people don’t deploy it properly. What happens after the phone ring is when they answer the phone, it’s usually broken. For us to make sure our marketing works properly, one of the things that we are adamant about is the followup. There are so many rabbit holes that can go down as to why people’s marketing does or doesn’t work properly but a followup is one of those things that is excruciatingly painful to see people not do.

One of the reasons why is this. Looking at my last quarter, we got a deal that made us a $30,000 assignment fee from a followup to a postcard that we sent out in 2018. It’s the person that called back in 2018 and we have been following up ever since. We have gotten a couple of deals in this last quarter under contract from 2021 and 2020 as well from postcards that we had sent out in the previous years that are now translating to deals.

All of that comes down to having an incredible CRM in place and being able to track the information when it comes in and properly categorize it to make sure that we are setting tasks, following up on those tasks, and staying in touch with the seller. To be able to see deals come from 2018 in real-time when were doing this in the first quarter of 2023 is mindblowing.

I love that. You’ve already spent money on that back then. That’s how you multiply the efforts. What did that look like since you’ve been using this in 2023? What do you like about this? How do the functionalities work for you to be able to do this?

When you have a CRM, its very important for it to be able to track the incoming lead or where that incoming lead comes from and follow the lead through the process from it becoming a lead to an appointment if you’re in negotiations at some point to a contract and then to a close. If it doesn’t go to close, where does it go? It goes into followups. It goes into either short-term follow-ups or long-term followups. You have to have some automation and physical touches in place. To be able to trigger those things is very important.

The CRM I’m using is Forefront. I‘ve fallen in love with that product because it’s so easy to use. I was on Podio for years. Before they made ground wheels, it was trying to drag a squarewheeled cart uphill. It will do the job but it’s hard work. What Forefront has done is made that more visually appealing to a certain degree and easy to follow. It makes it much easier to use as a system and that kind of thing. Thats where I’m at on that.

I’ve been in there as well playing around. The big thing is we teach a lot of people. When you look at something like Podio, you need to be techy to get this thing operating to be able to use it. It’s a blank canvas. The simplicity of even the dashboard where a lead comes in is back to the days when you have deals on a whiteboard. You might have pending hot leads and then pending contracts under contracting. You move them along the whiteboard because as our minds work, it makes sense.

The biggest thing for me with Forefront is that it’s user-friendly. The more complicated something is, the harder it is for someone to operate and focus on making money in real estate. People hide behind the CRM. A product like this doesn’t allow you to do that because it’s simple. That new lead comes in. We can move it into Initial Contact Made, Making an Offer, and Offer Accepted. We can move it by dragging and dropping it. You can get the automation that you were talking about and workflows. As you move it from this column to that, it will trigger that automation. It will put a follow-up, create a task for you, and do all these things, or you can manually enter it as well. It’s user-friendly.

People can get in there. Within a couple of hours, they’re already using it and ready to go. It’s straightforward. From a coaching standpoint, that’s exactly what I need my clients to do because I want them on the phone. I want them in discussions. I want them to be focusing on that. If you have a system that’s allowing you to focus more in the area of being on the phone, making your offers, and doing that follow-up, then that’s when you’re going to get the deals done and see the profit, in my opinion.

I couldn’t agree more. Being able to know exactly where it leads to, follow it through the process, and dive into making sure that you’re being held accountable for what you need to do. All those things are crucially important. I don’t even know where to start with this thing. It’s a cool platform. We have needed something like this for a long time. I‘m excited about it.

That’s what this does. That’s what I’m seeing. I’m excited to be moving heavily in this, especially in my virtual markets. I’m running this in multiple markets. I’m super excited. My VAs love it. My team likes it. It works well for the mind. I talk about that but there are a lot of CRMs where you can’t find the information. There are too many tabs. There’s too much going on. It causes frustration and chaos. Simple is the way forward. I like it.
